A. Account & Business Profile: When you register, we collect your business name, administrator email address, encrypted authentication credentials, phone number, and physical store/warehouse coordinates.
B. Inventory & Commercial Operational Data: Stock levels, SKU records, barcode representations, product pricing (cost and selling price), category classifications, supplier records, and customer receipts generated through our POS module.
C. Telemetry & Log Data: Browser user-agent strings, IP addresses, session duration, timestamped activity records, and error diagnostics collected automatically to maintain system security and uptime.
3. How We Use Information
- Operational Delivery: Calculating real-time stock levels, triggering low-stock reorder alerts, and processing sales receipts.
- Analytics & Financial Summaries: Aggregating daily turnover, gross margin valuation, and dead-stock identification for your business dashboard.
- Account Administration: Sending security alerts, password resets, product change notifications, and invoices.
4. AI Intelligence & Privacy Protection
StockN features an integrated intelligent store assistant (“Ask StockN”). We uphold rigorous data isolation standards for artificial intelligence operations:
• Strict Tenant Isolation: The AI assistant accesses only the data bound to your authenticated business ID.
• Zero Public Model Training: Your private product prices, margin rates, customer records, and sales volumes are never used to train public LLMs or third-party foundation models.
• Session Ephemerality: AI chat conversation histories are stored encrypted and can be flushed on demand by your administrators.
5. Security & Encryption Standards
We employ industry-leading infrastructure protections:
- All data in transit is encrypted using modern TLS 1.3 cryptographic protocols.
- All production databases utilize AES-256 encryption at rest.
- Passcodes and sensitive authentication tokens are hashed using bcrypt with salt work factors.
- Role-based access control (RBAC) enforces strict boundary isolation between standard users, managers, and system administrators.
7. Your Rights & Data Portability

8. Data Retention & Deletion
We retain your inventory records for as long as your workspace remains active. When you cancel or delete your account, your data enters a 30-day graceful restoration quarantine, after which it is purged permanently from production clusters and backup snapshots.
